Your journey with FID Finance.

From the first call to a steady rhythm, and a tidy handover if it ever comes to that. Eight phases, each setting out what we do and what we need from you.

Introductory call

A no-obligation conversation to get to know each other. What is going on, where are things stuck, and what do you need the numbers to show? We explain how we work, and what we are and are not the right firm for. After one conversation, you will know whether we are a good fit.

  • You tell us your story, and we ask follow-up questions about your finances and your bookkeeping.
  • An explanation of how we work, our packages and our rates.
  • If either of us sees it is not a fit, we say so straight away. That saves us both time.

Proposal and agreement

After the introductory call, you receive a concrete proposal: what we will do, which package that falls under, and what it costs per month. No open-ended arrangements, and no work you have not seen in advance.

  • A proposal setting out the scope, the choice of package, the rate and the commitments we make.
  • One-off remedial work and backlogs are budgeted separately, with a cap.
  • Work outside the scope is only done once agreed with you, at an agreed additional price.
  • Once you agree, we send a written engagement letter, including the arrangements for supplying documents.

Odoo finance check

As soon as we have agreed terms, we schedule the Odoo finance check. For clients it is free (as a standalone engagement it costs €500 excl. VAT). We go through your Odoo environment and map out your starting position. Then we know what we are taking on, and you know where you stand.

  • How up to date and accurate the bookkeeping is.
  • Open reconciliations and suspense accounts, and any backlogs.
  • How Odoo is set up and used for purchasing, sales and financial processing.
  • Opportunities to automate, including with AI.
  • What needs attention ahead of a possible statutory audit.

Client due diligence and onboarding

As a financial services provider, we are legally required to know who our clients are. Under the Wwft, the Dutch anti-money-laundering act, we check the company, its directors and its ultimate beneficial owners before work begins. It is quick, and thorough.

  • Identification and verification of the company and its directors.
  • Establishing the ultimate beneficial owners (UBOs).
  • Screening against sanctions lists and checks for politically exposed persons.
  • Recording the purpose and nature of the engagement.
  • Where relevant, the source of funds.

Set-up and working arrangements

Who does what, and when? That is what makes or breaks a working relationship. In this phase, we agree the practical details, from permissions in Odoo to fixed dates for supplying documents.

  • Access to your own Odoo environment, with the right permissions and roles.
  • A walk-through of the journals, the chart of accounts and the posting workflow.
  • Fixed dates for supplying documents, and a monthly calendar that fits your business.
  • Instructions for the staff who handle day-to-day processing.
  • A dedicated point of contact at FID Finance, with cover when they are away.

The first close

The first month-end or quarter-end close shows whether we deliver what we promised. We go through it with you, line by line where necessary.

  • We review the first figures together, including the commentary.
  • We adjust the arrangements for supplying and processing documents where they are not working.
  • We agree the standard close checklist, so that every close after that runs the same way.

The annual rhythm

From here on, things become predictable, and that is the point. With a steady rhythm of month-end closes, meetings and year-end work, nothing piles up towards the end of the year, and the groundwork for the annual accounts is already done.

  • Month-end close against a standard checklist, with all balance sheet items reconciled.
  • Monthly figures with commentary, to a fixed monthly calendar.
  • Regular meetings about the figures, progress, bottlenecks and improvements.
  • A monthly report on where advice could add value, drawn from your own Odoo data.
  • Annual accounts and corporate income tax return, after the end of the financial year.
  • Ongoing client monitoring through Grupp, with nothing required from you.

Growing together, and a tidy handover

Businesses change. When you grow, we scale up with you. And if you ever choose a different firm, we make sure the switch goes smoothly.

  • A larger package as soon as you need more management information.
  • Where it fits: more automation of the routine work.
  • Guidance if you become subject to a statutory audit, with a file an auditor can follow.
  • Our AI applications, in your own Odoo environment, as soon as they suit your work.
